Job Description
Responsibilities:
· Assist in all administrative works such as scanning, filing, and sending documents; preparing and maintaining all records, correspondence, and files
· Assist in the bookkeeping of records
· Assist in coordination and management of all facets of tenants move-in and move-outs including processing applications to ensure smooth processes
· Assist in the coordination of repairs and renovations for tenants in a timely manner and to their satisfaction
· Assist in the building maintenance and janitorial services
· Assist in the screencloud announcement and directory management
· Handle the monitoring of ecobee, kastle, irrigation system, electricity meters (if any), and lighting software
· Assist in scheduling and handling a range of common repairs and may have to contract larger repairs out. You will be responsible for getting quotes and getting the landlord’s approval for those repairs
· Assist in the coordination ongoing maintenance and inspections to comply with all relevant laws, codes, and company policies (of any)
· Assist in the Management of vendor and contractor relationships
· Assist in the addressing tenant complaints, violations, and problems
· Prepare and maintain all records, correspondence, and files including renewals of insurances and other renewal of services
· Involve in all office system, schedules, and organization
· Answering phone calls/ emails and receiving mails as well as posting mails (if any)
Qualifications
· Able and willing to pick up emergencies calls/ emails (i.e. fire/ door alarms/ lights on-off)
· Great with people– warm, friendly and helpful in person and on the phone, and have upbeat attitude
· Self-sufficient, proactive, has strong initiative, can multi-task, and has the willingness to learn
· Ability to use computer programs such as Microsoft Office, Canva
- Has experience in Office / Administrative Assistant
· Bookkeeping understanding/ experience is a plus but not required
