Job Description: Office Secretary
Duties and Responsibilities:
- Maintain confidentiality to protect sensitive information and student and staff privacy.
- Handling sensitive information with discretion and professionalism.
- Greet visitors and courteously provide general assistance.
- Create and maintain effective relationships with parents and guardians to keep them well-informed of happenings in school.
- Answer telephones, respond to inquiries, and relay information to relevant parties.
- Answer telephones to provide information regarding school hours, offered courses and enrollment and registration procedures.
- Perform typing, filing, and correspondence as required.
- Maintain a satisfactory, working relationship with the public, students, and other employees.
- Call parents when students are absent.
- Coordinate homework needs of absent students as requested by parents.
- Maintain current class lists.
- Arrange for substitute teachers and teacher aides when required.
- Order office supplies as needed.
- Monitor the purchase and procurement of office materials, equipment, and coordinate with the Procurement Specialist to ensure timely delivery of both.
- Monitor students referred for illness or disciplinary action to ensure their safety and welfare as assigned.
- Assist teachers and staff in making copies or handling copies from the copy machine.
- Responsible for contacting the copier companies for general maintenance, repair, supplies, and installation.
- Collect, check in, and disperse the daily mail and/or packages.
- Help with organizing and execution of school events, such as parent-teacher conferences or assemblies.
- Upload school notifications to parents and the community onto the Meskwaki Settlement School Facebook page.
- General clerical work as requested by Administration.
- Attend staff meetings and/or special school meetings as required by Administration.
- Other duties as assigned by Supervisor.
Requirements:
- Must have strong communication and interpersonal skills.
- Must demonstrate an extremely high regard for confidential and sensitive information.
- Must have basic knowledge of computers and various programs, and be proficient with computer software and office equipment.
- Excellent organizational and time management skills.
- Ability to multitask and prioritize effectively.
- Must be highly organized, detail-oriented and self-motivated, and pay close attention to detail and accuracy.
- Must demonstrate the ability to remain calm and professional under pressure.
- Must demonstrate flexibility, common sense, and good judgment.
- Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment such as computers, copiers, printers, poster-making machines; laminator, and postage machine.
- Specific skill-based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including using pertinent software applications.
- Ability to schedule activities and/or meetings; gather, collate, and/or classify data; and use basic, job-related equipment.
- Ability to work with a significant diversity of individuals and/or groups; some problem solving may be required to identify issues and select action plans.
- Ability to communicate with diverse groups; being attentive to detail; meeting deadlines and schedules; adapting to changing work priorities; displaying patience and working as a part of a team.
- Must have the ability to keep abreast of information pertinent to the job.
- Perform physical demands such as some lifting, carrying, pushing, and/or pulling; some climbing and balancing; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally, the job requires sitting, walking, and standing. The job is performed in a generally hazard-free environment.
- Must pass a background check per Public Law 101-630, Public Law 101-647, and the Indian Child Protection and Family Violence Prevention Act.
Education and Experience:
- Required Associate Degree
- Three to six months office-related experience and/or training in a business/school
Salary: $16.00 per hour, yearly evaluations will be conducted by immediate Supervisor
Certificates, License, and Registration Required
Must have the authorization to work in the United States as defined by the Immigration Reform Act of 1986.
