Job Summary :
The Volunteer Manager plays a key role in supporting the organization’s mission by managing the day-to-day operations of volunteer recruitment, onboarding, placement, and engagement. Working under the direction of the Director of Community Engagement, this position is responsible for facilitating a positive volunteer experience from first contact through active service. The Volunteer Manager ensures volunteer opportunities are well-promoted, onboarding processes are smooth and welcoming, and volunteers are matched effectively to roles that align with their skills and interests. This role also provides administrative and logistical support for programs teams, volunteer events, communications, and recognition efforts throughout the year.
Supervisory Responsibilities:
Duties/Responsibilities:
There are two main pillars of focus in this role: Volunteer Management and Program Support.
- Develop and maintain a strong knowledge of Champions For Learning’s program offerings and organizational goals to assist in the implementation of the Community Engagement, Student, and Educator annual work plans.
- Oversee the volunteer lifecycle including role descriptions, recruitment, the application process, onboarding, volunteer placement, and scheduling.
- Manage the volunteer databases (Get Connected and Take Stock in Children), ensuring timely and accurate compliance with screening, record keeping, and internal data-sharing in accordance with organizational protocols.
- In collaboration with the Director of Community Engagement, assist with:
- Integrating volunteer and donor cultivation and stewardship strategies.
- Facilitating volunteer information sessions and interviews.
- Collecting and incorporating volunteer feedback into a continuous improvement model.
- Stewardship events (Ambassador Reception, Volunteer Luncheon, etc.).
- Implementation of annual community engagement activities and events.
- In collaboration with the Directors of the Student and Educator Programs, assist with volunteer scheduling, placement, and confirmation for key program activities such as grant reviews, site-visits, and selection committee meetings.
Responsibilities as it relates to the Take Stock in Children Program:
The Mentor Manager will:
- Ensure that all mentors are matched with students in a timely manner and that sessions are conducted on school property for one hour each week.
- Collect and report mentor sessions.
- Ensure that potential mentors participate in a background check in a timely manner as required by state law.
- Offer comprehensive mentor training that defines roles and responsibilities; clarifies Take Stock in Children mentoring guidelines and expectations; and provides tools and suggested activities.
- Execute communication strategies to recruit volunteer mentors.
- Communicate regularly with all mentors by phone, email, mailing, surveys, newsletters, flyers, etc.
- Plan and execute mentor appreciation, recognition, retention, and training activities.
- Respond to mentor/mentee rematch needs by making a timely rematch to an eligible mentor, facilitating the virtual or in-person meet & greet between mentor and mentee (with support from the assigned College & Career Manager).
- Collect, document and report data on key performance indicators, including student data, in the areas of mentor recruitment, participation, application processing, screening, training, matching, and session frequency, as well as college and career readiness.
- Collaborate with Take Stock in Children College Success Coaches, school Managers, and liaisons to develop successful mentor/mentee relationships.
Required Skills and Abilities:
- Excellent verbal and written communication skills, including public speaking and facilitation abilities for both small and large group settings.
- Strong interpersonal skills with a commitment to excellent customer service and relationship-building across diverse sectors.
- Highly organized with keen attention to detail and the ability to manage multiple priorities in a fast-paced, dynamic environment.
- Proven time management skills with the ability to meet deadlines and delegate tasks effectively when appropriate.
- Analytical and strategic thinker with strong problem-solving and sound decision-making capabilities.
- Ability to quickly establish trust and collaborate effectively with internal teams and external stakeholders from varied backgrounds and experience levels.
- Demonstrates poise, professionalism, and discretion when handling confidential information and sensitive situations.
- Proficient in Microsoft Office Suite and other relevant software applications.
- Experience working with volunteer management databases (Get Connected or similar platforms), including data entry, tracking, and reporting functions.
- Demonstrated ability to maintain accurate records, track volunteer compliance, and support internal data-sharing protocols in alignment with organizational goals.
- Knowledge of nonprofit program operations, particularly within education or youth-serving organizations, with the ability to support key initiatives.
Education and Experience:
- Bachelor’s degree
- At least two years' related experience required.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to occasionally travel and work evenings/weekends as required.
- Must be able to lift at least 25 lbs.
